Receive stock

Receive puts stock into a storage area. Use it for deliveries, for recovered stock, for stock from another location, and against a purchase order.

Before you start

  • You need inventory.receive at your working location.
  • The location must hold stock and be active.
  • The storage areas must exist. Load them with an import if needed. See CSV imports.

Read How the operation forms work first for scanning, lots, and serials.

Details fields

FieldRequiredNotes
To storage areaYes, for each lineThe default for all lines. You can change one line.
RecoveredNoTick it for items that return to stock after being issued or written off. The reason becomes “recovered”.
ReferenceNoUp to 64 characters, such as a delivery note.
NoteNoUp to 1000 characters.
Purchase orderNoReceive against an open order.
Source locationNoThe manufacturer or supplier, or another location. Only a receipt accepts it.

Steps: receive a delivery

  1. Open Receive (R).
  2. Scan or pick the To storage area.
  3. Scan the first item in Add item.
  4. Complete the line:
    • Quantity item: enter Quantity.
    • Lot item: enter Lot code and the Expiry date.
    • Serial item: scan each serial number.
  5. Repeat for each item. Scanning the same item again adds 1 to its quantity.
  6. Enter a Reference, for example the delivery note number.
  7. Click Receive stock, or press Ctrl+Enter.

Example: a pallet of 40 boxes of item FOOD-1001, lot L2411, expiry 2027-03-31, goes to area MAIN. Scan MAIN, scan FOOD-1001, enter lot L2411, expiry 2027-03-31, quantity 40, then submit.

Steps: receive against a purchase order

  1. Open the purchase order, or choose it in the purchase order picker on the Receive form.
  2. The page shows "Receiving against PO". The lines start at what is still to receive.
  3. Change the quantities to what arrived. Add lot codes, expiry dates, or serials.
  4. Submit.

You can receive less than ordered. Receiving more than ordered is refused beyond the over-receipt tolerance set for the place. Dismiss the banner to post a plain receipt that is not linked to the order. Receiving updates the item's average cost. A part-received order stays open for the rest.

Result

The system shows "Posted LOCATION · TX-000123" and "The stock has moved and the ledger is updated." You can click View in ledger, Another receipt, or Back to PO.

A repeated submit shows "This was already posted; nothing was posted twice."
