Receive and close shipments

The destination of a transfer receives it, part now and the rest later, or closes it with a shortage. The destination of a dispatch confirms delivery.

Receive a transfer

  1. Open the shipment and click Receive. A returned shipment shows Receive back.
  2. Set To storage area as the default, and optional Reference (up to 64) and Note (up to 1000).
  3. To take everything, click Receive everything outstanding.
  4. Or scan what arrived into Scan to tick lines. A serial number ticks that unit. A lot or item label adds one to its line.
  5. Check each line. It shows the outstanding quantity, what was received earlier, and "entered of outstanding".
    • Quantity: enter Quantity received, or click All N.
    • Serial: use the checkboxes under Serial numbers, or Tick all and Clear.
    • To change one line's area, open Change storage area.
  6. Read the footer. For example "3 of 5 entered. Receiving books this in and keeps SHP in transit." or "Everything outstanding is entered. Receiving completes SHP."
  7. Click Receive.

The page shows "Received · TX". A pending approval shows "Waiting for approval: Nothing has moved yet." Then use Receive more, Open approval, View in ledger, or All shipments.

Receive and close with a shortage

Use this when nothing more is coming.

  1. On the receive page click Receive and close with a shortage.
  2. Check the lines. The dialog "Receive and close SHP with a shortage?" lists "N short" lines.
  3. Click Receive and close.

The rest is written off as lost in transit, and the shipment closes as Closed with shortage. Both ends get alerts. Your approval policy for write-offs can require a second approval first. A pending shortage blocks receiving until it is decided. If closing fails after the receipt posts, the page says "Received, but not closed". The receipt stays. Try closing again.

You can also close from the shipment page with Close with shortage, with an optional Note (optional) up to 1000 characters. It is disabled with "Nothing is outstanding." when nothing is.

Confirm delivery of a dispatch

  1. Open the dispatch and click Confirm delivery. The title is "Confirm delivery of SHP".
  2. For each line, Received is filled with the dispatched quantity. Change it only if less arrived. Short lines are noted.
  3. Optional: set Arrived (optional) if it arrived before your last report. Add a note (up to 1000 characters).
  4. Click Confirm delivery.
