Adjust and write off

Adjust corrects a quantity. Write off removes stock that is lost, destroyed, expired, or used without a record. Both can need a second person's approval.

Before you start

  • You need inventory.adjust at your working location.
  • Your approval policy decides whether a second person must approve. A write-off is permanent.

Read How the operation forms work first.

Choose the operation

At the top, the Operation toggle has Adjust and Write off. Switching clears the reason, the lots, and any errors. Opening Adjust from a stock row starts on Remove stock with that item and area.

Steps: adjust

  1. Open Adjust / write off (A) and choose Adjust.
  2. Under Direction choose Add stock or Remove stock. Switching clears the lots.
  3. Choose the storage area: To storage area when adding, From storage area when removing.
  4. Choose a Reason: Damaged, Found, Data correction, or Other (explain in note).
  5. Scan the item and complete the line:
    • Adding a lot item: enter Lot code and Expiry date.
    • Removing a lot item: choose the Lot.
    • Serial item: scan each serial number.
    • Quantity item: enter Quantity.
  6. If the reason is Other, enter the Note (required).
  7. Click Adjust stock.

Example: a count shows 3 boxes more than the system. Choose Add stock, area MAIN, reason Found, scan the item, enter 3, and submit.

Steps: write off

  1. Choose Write off.
  2. Under Write off from choose From a storage area or From custody.
  3. Choose a Reason: Lost, Destroyed, Expired, Consumed but not recorded, or Other (explain in note).
  4. From a storage area: choose From storage area, scan the item, choose the lot, and enter the quantity or serials.
  5. From custody: choose the Person or unit, then tick the custody records to write off, as in Return stock. There is no storage area.
  6. If the reason is Other, enter the Note (required).
  7. Click Write off stock. A dialog always asks Write off this stock? with "These items will be removed from stock permanently. Your policy may require a second approval before this happens." Click Write off to confirm.

Result

If no approval is needed, the system shows "Posted LOCATION · TX-000123". Otherwise it shows "Waiting for approval". Click Another adjustment or View in ledger.

Rules and limits

  • The reason lists differ for Adjust and Write off.
  • A correction is a new ledger transaction. The ledger is never edited.
  • Writing off a shipment's stock where it arrives needs a role that allows it: "your role does not allow writing off stock where this shipment arrives".
