The vehicle list

  1. Open Vehicles in the Vehicles and drivers space.
  2. Choose a tab: Needs attention, Free now, Available, Not available (red), or Inactive. Each shows a count.
  3. Search by Registration, make or model. Choose a Place or All places.
  4. Read the columns: status, registration, capacity, next service, and documents. Chips show On the road, Booked, and Inactive.

An empty Needs attention tab says "Every active vehicle has its documents in date and no service overdue." Click Clear filters when nothing matches.

The vehicle page

The header shows the registration, name, status, make and model, body type, home place, and where the vehicle is now when it is away.

Actions:

  • Maintenance: opens the equipment in Maintenance, when that app is on.
  • Copy to a new vehicle.
  • Reactivate (inactive vehicles).
  • Edit specification.

Vitals: Status ("can be planned" or "cannot be planned"), Odometer, Next service, Documents in date, and Defects last 30 days. The attention box links to Renew, Add documents, the service programme, and See defects. It warns when defects were reported not safe to drive.

Edit the specification

  1. Click Edit specification.
  2. Change the fields. They are the same as in Add a vehicle. The page says "Changes are recorded, and released trips on this vehicle are checked again."
  3. Untick Active (can be planned) to keep the vehicle on record but stop it joining trips. Tick Track engine hours to ask for hours.
  4. Click Save changes. The footer shows Unsaved changes. or No changes yet.

Defects

The page lists the newest 20 defects, each Safe to drive or Not safe to drive, with the pre-trip item. A defect needs certification. Certify repair appears only where Fleet certifies, which means Maintenance is not doing it. Where Maintenance certifies, Fleet refuses with maintenance_certifies.

The page also shows meters, the cost of ownership (needs costs.read), and the inspection reports with a print page. On the print page choose Paper size and Sign-offs.
