Plan a trip

Build a trip from shipments, choose a vehicle and a driver, check the plan and release it to the driver.

What this is

The trip editor is one page for a new trip and for editing a draft or released trip. It checks the load on every leg, the vehicle, the driver and the documents while you work.

Before you start

  • You need fleet.trips.plan.
  • At least one active vehicle and one active driver must exist. See Vehicles and drivers.
  • Shipments must wait in the transport queue, unless you add stops by hand.

Steps

  1. Choose New trip on the board, the queue or the trips list. From the queue, the selected shipments are already on the trip.
  2. In Vehicle and driver, choose the Vehicle and the Driver. The pickers show who is busy or not fit.
  3. Set Planned start. The default is the next full hour.
  4. Tick Return to the home place to add the drive back after the last stop.
  5. If cost centres exist, choose a Cost centre. Empty means the vehicle's own centre. It decides who pays in the monthly chargeback.
  6. In Add from the transport queue, choose Add for each shipment. Its pickup and drop stops appear in Stops.
  7. Drag stops by their handle to change the order. Add a stop by hand with Add a stop. Correct a leg distance if you know it.
  8. Read the Plan panel: stops, shipments, distance, driving time, the heaviest leg. Distance and driving time appear after the first save.
  9. Choose Save draft to keep it, or Release to send it to the driver.

Result

After Save draft, the page shows "Draft saved." The trip is a draft. The driver does not see it.

After Release, the trip page opens. The driver sees the trip under My trips, and the server publishes a fleet.trip.released event.

Rules and limits

Stop order rules:

  • A shipment is picked up at its origin and dropped at its destination.
  • A pickup comes before its drop.
  • A shipment is picked up once and dropped once.

Capacity checks run on each leg:

CheckWhen over the limit
Weight against payloadThe server refuses the save: "Leg from stop N carries X kg, over the Y kg payload". Take something off or use a larger vehicle
Cargo volumeA warning. Enter a Reason to go ahead under Over the volume or pallet limit. The reason is recorded
Pallet slotsA warning. The same reason is needed

Volume and pallet counts are estimates.

Release gate. Release is refused when:

  • The vehicle is not In service or on Standby. A Degraded vehicle only warns.
  • A vehicle document ends before the trip ends, or the driver licence ends before the trip ends or is not recorded. This blocks when the setting An expired document or licence is Blocks the release. It warns when the setting is Warns only.
  • The licence classes do not cover the vehicle, or the gross vehicle weight is over what an LMV licence covers and no class is set.
  • A required e-way bill has no number, when e-way bill tracking is on and the expiry mode blocks.
  • The vehicle or the driver is on another released or running trip that overlaps. This gives a 409 conflict.

These cases only warn: the driver is marked unavailable on a day of the trip, a shipment would drop after its needed-by date, a place has no position, a rest break or an overnight rest is planned, a service falls due, an e-way bill would expire before the drop.

Editing a released trip: Save changes checks the trip again, tells the driver and records what changed. Only draft and released trips are editable. Completed and cancelled trips open read-only.

Audit: Fleet records fleet.trip.created, fleet.trip.updated, fleet.trip.cancelled and every release in the audit log and the trip history.
