Card import

Upload the CSV file your fuel card vendor sends. Each row becomes a fuel entry on the vehicle it names.

Before you start

You need fleet.fuel.manage. Add the card company as a partner of kind vendor first. See Partners and costs.

Steps

  1. Open Fuel, then Card import.
  2. Choose the Card vendor. If none exists the page says "No vendors yet".
  3. Choose the CSV file.
  4. Map the columns:
    • Required: Date and time, Vehicle (matched by registration, then VIN, then asset code), Quantity, Card number (only the last four digits are kept), and either Price per unit or Total.
    • Optional: Unit, Fuel type, Odometer, and Station.
    • Set the Date format and Unit when the file has none.
  5. Click Save mapping to keep it for the vendor's next file.
  6. Click Check the file. This is a dry run and adds nothing.
  7. Read the result: "N entries to add, N duplicates, N rows with errors, N flagged for a check." Each row shows Will be added, Already there, or Cannot import.
  8. Click Import N entries.

Result

The page says "N entries flagged for a check; see the Checks tab." or "No entry needs a check."
