The header

The header shows the title, the status with its sub-status, the parts state (Parts ready, Some parts ready, Waiting for parts, or No parts), the type, the priority, the place, and the equipment. It also has a timer, Watch, and Work on phone for technicians on active orders. The links jump to Brief, Checklist, Issues, Parts, Labour, Costs, Vendor, Comments, and Timeline.

Move between statuses

CompletedClosed, or back to In progress (reopen)

Closed and Cancelled are final.

Start work

  1. Click Start work on an open order, or Resume work on one on hold.
  2. If the order needs a permit, you cannot start until a permit is active and you are signed on. See Permits.

Put on hold

  1. Click On hold and choose the reason: Waiting for parts, Waiting for access, or Other.
  2. Add a note (up to 500 characters).

The system sets At contractor and Permit expired itself. In progress or on hold, you can also pick a sub-status. Leaving some sub-statuses needs approval: "Leaving the sub-status needs an approval; the order keeps it until then."

Do the work

  • Checklist: mark each step Done, or Pass or Fail, or enter a reading. Notes are up to 1000 characters. You must start the order before you record steps.
  • Parts: see the state of each part. A part moves through planned, requested, reserved, kitted, issued, used, and returned. Use Request from store for missing parts. See Parts.
  • Labour: start a timer, or enter Hours (more than 0, up to 1000) and an optional Note (up to 500). A timer runs only on open or in-progress orders. Timers over 12 hours are flagged. A manager can stop another person's timer.
  • Photos: click Add photos.
  • Downtime (equipment orders): click Equipment is down or Equipment is back in service. A manager sets the kind (planned or unplanned) and the reason.

Complete the work

  1. Click Complete.
  2. For corrective work choose Problem, Cause, and Remedy. They are required. For other types they are optional.
  3. For preventive, inspection, and condition-based work choose Condition found: No defect ("Everything checked was in order.") or Defect found.
  4. Enter the meter readings if asked. A blank means not read. A reading below the last one shows "Below the last reading". A value that is not a number shows "Enter the reading as a number, 0 or more."
  5. To certify the repair, choose Corrected or No correction needed and sign. You can leave the certification for later.
  6. If downtime is open, tick End the downtime and put the equipment back in service.
  7. Click Complete.

The system will not complete the order if a required step is open, the codes are missing, a vendor order has no invoice, or a permit rule blocks it.

Close

  1. A person with close permission clicks Close. It cannot be the person who completed the work.
  2. If a second person must approve, the page says "Closing is waiting for a second person to approve." Open the approval to decide it. The completer cannot approve their own close.
  3. If the equipment is not in service, tick Return to service.

Cancel

Click Cancel work order. The dialog says "Cancel this work order? It cannot be reopened." Enter Reason for cancelling, up to 500 characters. It is required unless your team switched that off.

Defer, skip, and rounds

  • Defer moves the due date. The limit is in settings, 30 days by default.
  • Skip moves to the next occurrence of a repeating task.
  • Make a round (a parent order that is not a child) creates one child order for each piece of equipment at the same place, up to 100.
